We have moved from repetitive manual tasks to RPA, then to chatbots, and AI-based solutions. Now, the next step emerges: AI agents. But what are they, exactly? And, more importantly, what is the difference between an AI agent, a chatbot, and an RPA robot? In short: the chatbot responds. RPA executes. The AI agent analyzes and acts. And this difference can change how companies automate their processes. **What is an AI agent?** An AI agent for business is a software system that can receive a goal, analyze the available information, and decide what actions are necessary to achieve it. For example, a customer sends an email: *"I need 50 units of product X next week. Can you check availability and send me an offer?"* A chatbot can respond to the customer. An RPA robot can check inventory by following predefined steps. An AI agent can understand the request, identify the customer, check the CRM and ERP systems, analyze stock and commercial terms, prepare the quote, and route the case to an employee if approval is required. The difference is that the agent doesn't just execute a fixed set of instructions. It can decide which steps are necessary to reach the objective, within the limits established by the company. **AI Agent vs. Chatbot vs. RPA** The three technologies are not mutually exclusive. For example: questions about products, orders, schedule, documentation, or support. **When is RPA suitable?** When you have a repetitive and predictable process: download document → extract data → input data into ERP → archive. If the steps are identical every time, RPA is highly efficient. **When does an AI agent make sense?** When the process is not as rigid and involves interpreting information, making decisions, and interacting with multiple systems. In other words, RPA automates the steps. The AI agent can coordinate the entire process. **Where can AI agents be used?** AI agents are not just for IT departments. They can have applications in almost any area where people spend time searching for information, moving data between systems, or managing repetitive requests. - **Sales:** An agent can analyze leads, consult customer history in the CRM, prepare a summary for the sales team, and suggest next steps. - **Customer Support:** It can analyze a request, check customer history, search for relevant information, update a ticket, and escalate complex situations to an operator. - **Finance:** It can interpret documents, identify relevant information, and initiate processing or approval workflows. For repetitive operations, it can collaborate with RPA. - **Operations:** It can check information across ERP, CRM, or other systems and initiate necessary actions based on context. In fact, this is one of the most interesting aspects of AI agents: they don't have to replace the technologies a company already uses. They can connect them into a smarter workflow. Do you have to choose between AI, RPA, and chatbots? Not necessarily. Imagine a customer support process: the customer asks → the chatbot receives the request → the AI agent understands the issue → checks the CRM and ERP → RPA executes a repetitive task → a human steps in if a decision is needed. Each technology has its role. This combination is one of the core ideas behind **Hyperautomation**: using multiple technologies to automate an end-to-end process, rather than just a single task. **How do you know if you need an AI agent?** Don't start with the technology. Start with the process. Look for activities that: - Occur frequently; - Involve multiple systems; - Require searching for and interpreting information; - Consume people's time; - Involve multiple steps; - Have measurable results. If an employee has to **read → search information → decide → execute → verify**, the process is worth analyzing for AI automation. If the process is purely repetitive and has identical steps every single time, RPA might be enough. **What should you consider before implementation?** An AI agent doesn't automatically fix poorly defined processes. Before implementation, you need to analyze available data, integrations with existing systems, permissions, business rules, and scenarios where human intervention is required. Especially in processes with financial, legal, or commercial impact, the agent's autonomy must be clearly defined. A good AI agent isn't one that does everything on its own. It's the one that knows what it can do independently and when to ask for human approval. AI agents take automation one step further. Chatbots can converse with customers. RPA can automate repetitive tasks. AI agents can analyze context and coordinate multiple actions to reach an objective. And together, these technologies can transform automation from a series of isolated tasks into an end-to-end, connected, and intelligent process. For a company considering AI, the question isn't necessarily *"Do we need an AI agent?"*.
